Planning a safe road journey: a checklist for travel managers

Most road incidents involving travelling staff can be traced back to something that wasn't checked before departure. Here is what a sound journey plan covers.

When a company moves staff or visitors by road, the safety of the journey is decided long before the vehicle leaves. Most incidents can be traced back to something that wasn’t checked: a tired driver, an unplanned route, or nobody noticing that a traveller had gone quiet. A journey management plan closes those gaps.

Before departure

  • Assess the driver. Are they rested, fit to drive and familiar with the route? Fatigue is one of the most common and least visible risks.
  • Brief the traveller. Visitors new to the country should know what to expect on arrival, who will meet them and what to do if plans change.
  • Check road and weather conditions. Rain, road works and local events can turn a short trip into a long one.
  • Fix the route and checkpoints. Agree the route, the checkpoints along it and the expected time at each.
  • Record transport details. Vehicle registration, driver name and contact, or flight number for air legs.
  • Allocate the right assets. The vehicle, escort and communications should match the risk of the route.

On the road

Check-ins are the backbone of a managed journey. The traveller or driver confirms their position at each checkpoint, and someone at base is responsible for noticing when a check-in doesn’t arrive. A missed check-in should trigger action straight away, not at the end of the day. Travellers should also have a simple way to raise an incident the moment something goes wrong.

After arrival

Close the journey formally. Confirm arrival, note anything unusual on the route, and keep the log. Over time, those records show which routes, times and drivers carry the most risk, and that makes the next plan better.

When to bring in a specialist

If your staff travel regularly, travel at night, or travel to unfamiliar areas, a dedicated journey management provider can take the planning, tracking and response off your team. See how Cardinal manages journeys, or tell us about your travel needs.
